Privacy statement: Made in the Library gallery submissions

This privacy statement explains how the British Library will use personal information submitted as part of the Living Knowledge Network Made in the Library gallery project. It should be read together with the British Library Privacy Policy.

What information we collect

If you submit artwork to the Living Knowledge Network Made in the Library gallery project, we may collect:

  • your name;
  • your email address;
  • the name of the creator, if different from the person submitting;
  • whether the creator is aged under 18;
  • confirmation that parent/legal guardian consent has been obtained where the creator is under 18;
  • your library authority, or your county if you are not submitting through a library;
  • your artwork and any information included in the submission email; and
  • your preferred credit if the artwork is selected, for example full name, first name only, or anonymous.

Please do not include unnecessary personal information in your artwork or submission. Artwork should not include contact details, addresses, images of identifiable people, or personal information about anyone else.

Why we collect this information

We will use this information to:

  • administer and manage submissions to the Living Knowledge Network Made in the Library gallery project;
  • review submitted artwork;
  • contact submitters about their submission where needed;
  • confirm whether selected artwork may be used in print, online, on social media, or in related project communications;
  • credit selected artwork in line with the preferences and permissions provided; and
  • manage queries, withdrawal requests, complaints or rights requests relating to submissions.

We will not use your contact details to send direct marketing unless you have separately agreed to receive marketing from the British Library.

How selected artwork may be used

Selected artwork may be used by the British Library and participating public libraries in connection with the Living Knowledge Network Made in the Library gallery project. This may include printed displays, British Library or partner library websites, social media posts, newsletters, press or promotional materials relating to the project.

Selected artwork may be displayed with the creator’s full name, first name, library authority, county, or no name, depending on the permissions provided and the format of the display.

Where the creator is under 18, we will normally credit the artwork by first name only or anonymously, unless a parent/legal guardian has expressly agreed otherwise.

Under 18 submissions

If the creator is under 18, the submission must be made by a parent/legal guardian, or by another adult confirming that parent/legal guardian consent has been obtained.

Where artwork is submitted through a library workshop, the submitting library or staff member must confirm that appropriate parent/legal guardian consent has been obtained before the artwork is submitted.

We do not need the creator’s full date of birth for this project.

Who can access the information

Submission emails and artwork will be accessed by British Library staff who need to administer and review the project.

Selected artwork may be shared with participating public libraries and may be published or displayed as described above. If artwork is posted online or on social media, it may be visible to the public and may be shared by others.

How long we keep the information

Submission emails and attachments for artwork that is not selected will be kept only for as long as needed to administer the project and respond to related queries, then deleted in line with the agreed retention period.

For selected artwork, the British Library may keep a minimal permission and crediting record for as long as the artwork remains published, displayed or reasonably in circulation. This is so that we can evidence the permission given, manage withdrawal requests, and respond to rights or authorship queries.

Withdrawal and removal requests

You may contact us at living.knowledge@bl.uk if you no longer want your artwork to be used. We will consider and action reasonable requests where possible.

However, we may not be able to remove artwork from materials that have already been printed, distributed, archived, published online, posted on social media, or shared by third parties.

Your data protection rights

You have rights under data protection law, including the right to ask for a copy of your personal information, ask us to correct inaccurate information, and ask us to delete or stop using your information in certain circumstances.
